Will RenewableUK share my personal data with anyone else?
We will typically only use your personal data internally and not disclose it to third parties except where we are required by law, to exercise or defend our legal rights, or where you have given your explicit consent. Some exceptions to this are:
- We utilise a few third party suppliers who provide systems for us to safely store and process your data. They can see your data from the backend, but this is only accessed when support services are required. All our 3rd party suppliers are subject to a thorough due diligence process, and have contractual clauses in place protecting your data, before we start to use them.
- We may also need to share your information with hotels, venue providers, and event staff to ensure that appropriate arrangements are made for you where you may have specific dietary or access needs.
Our lawful basis
To process any personal data, we are required to identify a lawful basis in accordance with Article 6 of GDPR.
As a membership provider, most of the information set out above is processed to fulfil a contract with you or, for your benefit, with your employer. Without it we would not be able to process your membership and facilitate forums, events, and news updates.
We also have a legitimate interest in processing other information about you for the purpose of the smooth running of our business, for marketing, and for planning purposes.
This means we process your personal data in accordance with Article 6(1)(b) and Article 6(1)(f) respectively.
How long we keep your personal data
By law we must keep basic information (i.e. name, address, and service provided) about all receivers of our services for a minimum of 6 years for tax purposes.
For members we may keep your personal data for longer periods
Subject to any legal requirement, you can ask us to delete your information at any time and we will oblige, if not we will automatically delete your data 6 years after your last interaction with us (whichever is sooner).
